Withdrawing from a programme

Withdrawals, Refunds and Appeals Policy

Before you withdraw from a programme of study, it is important that you contact Aspire2 Health and Wellbeing to discuss any challenges you may be experiencing and explore possible study options. In many cases, there may be alternative solutions available such as extensions, additional academic support, or adjustments to your study plan that could help you successfully complete your programme.

Student Initiated Withdrawal

Students may withdraw from their programme of study at any time by completing the online withdrawal process or by contacting Aspire2 Health and Wellbeing directly in writing. Withdrawal requests can normally be submitted through the student learning platform or by emailing the relevant administration or student support team.

Once a withdrawal request has been received, Aspire2 Health and Wellbeing administration staff will process the request and record the withdrawal in the Student Management System. Students will receive written confirmation once their withdrawal has been completed.

Students who withdraw from their programme of study may apply to re-enrol at a later date. Any future enrolment will be subject to approval and may depend on the student’s previous academic progress, the availability of the programme, and any changes to programme requirements or curriculum.

Students receiving a Student Loan or Student Allowance must notify StudyLink or the relevant government agency of their withdrawal and complete any required administrative processes. Failure to notify StudyLink may result in repayment obligations or other financial consequences.

Aspire2 Health and Wellbeing Initiated Withdrawal

Aspire2 Health and Wellbeing may withdraw a student from their programme of study if the student has not made sufficient academic progress within a reasonable period of time.

A student may be considered inactive or at risk of withdrawal if they:

  • Fail to submit required assessments within the specified timeframes
  • Fail to participate in required learning activities or practical components
  • Do not communicate with staff regarding extensions or academic difficulties
  • Do not respond to attempts by Aspire2 Health and Wellbeing staff to contact them regarding their progress

Before withdrawing a student, Aspire2 Health and Wellbeing will normally provide written notification outlining the concerns regarding the student’s academic progress and advising the student of the actions required to remain actively enrolled. If the student does not meet the requirements outlined in the notification within the specified timeframe, the student may be withdrawn from their programme of study.

Students withdrawn under these circumstances will be notified in writing and their enrolment status will be updated accordingly.

Programme Transfers

Students who wish to transfer from one programme to another may apply to do so with approval from a programme manager or relevant academic staff member. Transfer applications are considered on a case-by-case basis.

When assessing a transfer request, Aspire2 Health and Wellbeing may consider factors including:

  • How long the current programme has been underway
  • The student’s likelihood of successfully completing the new programme
  • The amount of learning or assessments the student may need to catch up on
  • The level and academic requirements of the programme the student wishes to transfer into
  • The student’s previous academic progress and engagement with their current programme

If a transfer is approved, the student will be required to formally enrol in the new programme.

Refunds

Refund eligibility depends on when the withdrawal occurs in relation to the programme start date.

If a student withdraws within the Early Withdrawal period, they may be eligible for a refund in accordance with the Education and Training Act 2020. In this case, the student will receive a refund of the fees paid less either 10% of the total fees or $500, whichever is the lesser amount.

If a student withdraws after the Early Withdrawal period, they will be recorded as a withdrawal and will not be eligible for a refund for the programme or courses that have already started.

Refunds will be paid to the person or organisation that originally paid the fees.

In exceptional circumstances, the General Manager may approve a variation to the refund provisions. Students wishing to request a variation must submit their request in writing outlining the circumstances that support their application.

Appeals

Students who wish to appeal a decision made under this policy may do so by submitting a written appeal to the General Manager. The appeal should outline the reasons for the appeal and include any supporting information or documentation. The appeal will be reviewed and the student will be notified of the outcome following the review process.
